Business Case:

Our customer is a mid-sized maternity hospital that provides end-to-end child birth and child care facility. The hospital has around 20 doctors who are either permanently employed or work as consultants. The facility had till then been using stand-alone software for financial and operational activities. They needed a mechanism that would reduce the wait time of patients and also operational dashboards using which they can track their performance on various parameters. They wanted a more dynamic platform for sharing knowledge and best practices amongst physicians

Solution:

Yasmesoft consultants suggested implementing Microsoft BI solution for this customer. Microsoft’s datawarehouse has the capability to handle high volumes of data, which matched the requirements for a long-term knowledge portal. The system can be extended to include all functions such as HR, finance and supply chain.

Doctors contribute to the dashboards by providing various information regarding the patients and the medical procedure and best practices followed. This is done via a web-form. Combined together, this portal provides the physicians with an easy to retrieve knowledge base, that they can dig into at any time.

Results

Systematic tracking of inventory: The automation and tracking of medical supplies, instruments and utilization of hospital facilities has led to better cost management and efficiency. Automatic alerts are sent to suppliers whenever inventories drop below the critical mark. This has led to reduction in inventory costs for the centre, but most importantly it has helped the hospital from running out of critical life-saving drugs.

Facility management: The centre used typical time management software for reservations of beds and emergency facilities. While this was sufficient to manage time and facility usage, there was no way for the management to understand trends, peak hours and seasonality of requirements. This often led to the centre being unequipped to deal with unexpected demands for medical facilities. With the new BI solution, tracking trends and gaining insights into facility requirements became more streamlined

Automated medical reports: The most important and long-term impact of our BI implementation is in the automation of medical reports. Medical transcripts and patient histories were earlier written down in paper format and later converted into textual format by a third party vendor. While this led to better maintenance of medical records, it did not provide medical practioners with a platform to draw insights and knowledge from past experience or those of their peers. With our platform, doctors can input case history and details directly over web. The case history along with insights and relevant images are stored in data warehouses. Other doctors can search for similar cases and study them. There are also dashboards which lead to critical insights such as frequency of a medical condition, trends etc which help them stay prepared and provided enhanced services.

Security: In cases such as these, role based security features are extremely critical. Our BI solution provided the system where security permissions are administered centrally ensuring total security.
